Refund & Cancellation Policy
OmniCore-AI subscriptions are month-to-month with no lock-in. This policy explains how to cancel, when cancellation takes effect, our position on refunds, and what happens to your data afterwards. It should be read together with our Terms of Service.
Cancel anytime
You can cancel your OmniCore-AI subscription at any time. There is no notice period and no cancellation penalty. Cancellation takes effect at the end of your current billing cycle - your practice keeps full access to the service until that date, and the subscription is simply not renewed for the next period.
Refunds
Subscription fees are charged in advance for each billing period. We do not provide partial-month or pro-rata refunds for the period in progress; instead, the service continues to the end of the period you have already paid for. This keeps pricing simple and predictable, consistent with our no-lock-in, month-to-month model.
How to cancel
You can cancel from within the app under your organization's billing settings, or by emailing support@omnicore-ai.app from an address associated with your account. We will confirm the cancellation and the date on which your access will end. If you cancel by email, please cancel before your next billing date to avoid being charged for the following period.
Messaging (pay-as-you-go) charges
WhatsApp, SMS and voice messaging is pay-as-you-go and billed at carrier cost. Charges for messages already sent are not refundable. After cancellation no further messages are sent, so no further messaging charges accrue.
What happens to your data
When your subscription ends, your practice can request an export of its patient, clinical and business data in open, machine-readable formats, and we will help you do it. We do not delete your records when you cancel. They are retained in a secure state, under the same safeguards and confidentiality obligations that applied while your account was active, until you instruct us in writing to delete them - at which point we remove them from active systems and let encrypted backups age out on our standard cycle, and confirm when it is done. We do it this way because the HPCSA and the National Health Act require you to keep patient records for at least six years from the last entry, and longer for minors, and a cancelled subscription should never be the reason you cannot produce a record. Your practice remains responsible for meeting those retention obligations and for deciding when records are no longer needed.
Electronic transactions and cooling-off (ECTA s44)
Section 44 of the Electronic Communications and Transactions Act, 2002 (ECTA) gives certain consumers a 7-day cooling-off right to cancel some electronic transactions. OmniCore-AI is supplied to healthcare practices (businesses) rather than to natural-person consumers, so the section 44 cooling-off right generally does not apply. Where it does apply, we honour it, subject to the exclusions in the Act - including that the right does not extend to services that have already begun to be performed with the customer's consent. Our cancel-anytime, no-lock-in model means you are never tied into a fixed term regardless.
Consumer Protection Act
Where the Consumer Protection Act, 2008 (CPA) applies to a transaction, nothing in this policy limits the rights it confers. Our month-to-month terms, absence of early-termination penalties and clear pricing are intended to be consistent with the CPA's approach to fair and transparent consumer agreements.
Changes to this policy
We may update this policy from time to time. Material changes will be communicated to account holders, and the 'last updated' date above will reflect the latest version.
